Email notifications are automatic emails Kartra sends when specific events happen in your account, such as a purchase, form submission, or appointment booking. Each notification type serves a specific purpose, helping ensure the right people receive the right information at the right time, without manual follow-up.

Unlike marketing emails, which are designed to promote products and educate or nurture customers over time, notifications are used for confirmations, alerts, and updates. 


Who email notifications are sent to

Notifications can be sent to different recipients, depending on their purpose:

  • To your contacts
  • To your affiliates
  • To you or your team

They can be triggered by events such as:

  • Transactions
  • Membership access
  • Helpdesk tickets
  • Campaign sharing
  • Calendar appointments
  • Webinar registrations
  • Affiliate activity
  • Other contact actions

Where to manage email notifications

Email notifications are managed in Settings > Email notifications.

Most notifications are set up as global templates, which helps ensure consistent messaging across your account. 

What this means in practice:

  • The same template is used every time a type of notification is triggered. 
  • You can customize the content of these templates to match your branding. 
  • Pro tip: Because they apply across your account, it’s best to keep the wording general and avoid adding information that only applies to one specific asset.

Some notifications sent to your contacts can be adjusted individually within specific asset setup wizards, such as: 

  • Memberships: Welcome emails and new post unlocked alerts
  • Forms: Successful sign-ups and double opt-in confirmations
  • Survey: Confirmations
  • Calendars: Booking confirmations and reminders
  • Webinars: Booking confirmations and reminders

Personalizing notifications with variables

Variables are placeholders that automatically pull in information when an email is sent. They allow each recipient to see details that are relevant to them, without you having to write separate messages manually.

For example, variables can insert:

  • A contact’s name or email address
  • Details about a purchase or subscription
  • Information related to an appointment or membership access

Variables are available in email composers throughout your account, including notification templates. When a notification is sent, Kartra replaces the variables with real data from the contact’s profile or the related asset.
