Changing your Kartra username is a significant decision that requires careful thought. If you have shared links, embedded assets, or connected custom domains, these will need to be reviewed and updated after the change.
Once your username is updated, any links or assets tied to the old username may break after a two-week grace period.
It’s highly recommended to perform a thorough review of your account’s assets and URLs after updating your username, checking both internal and external distributed links and embedded assets. Additional details on how to manage these updates are provided further in this article.
If this process seems too disruptive, you may want to consider keeping your current username.
Steps to update your username
- Click the avatar in the top-right corner of your account.
- Select Profile from the dropdown menu.
- Click the pencil icon next to your current username.
- Enter your new desired username and answer your security question.
- Note: Your username cannot contain special characters (like @, !, -, or #).
- Usernames must be within 3-16 characters.
- Click Change.
- Review and accept the domain warning.
- If you do not have any domains connected to your account, you can safely accept this message and proceed. If you are not sure whether you have domains linked, go to Settings > Domains to review your connections.
- Click Proceed to complete the update.
Next steps: Use the following guides to review and update your domains, links, and embed codes to ensure your content continues working as it should.
Update domain connections (if applicable)
If you use custom domains connected to your Kartra account, follow these additional steps to ensure they function properly after your username change:
- In Kartra, go to Settings > Domains, then delete each custom domain. Wait for 10-15 minutes for the domain to fully clear from your account.
- In your domain host account, update the CNAME record(s) to match your new username (this links your domain to Kartra). Do this for each domain you want to continue using with Kartra.
- In Settings > Domains, reconnect each domain in Kartra.
Pages or assets (e.g., pages, memberships, calendars) that previously used your domain must also be updated.
- Review the content in your account where your domain was used to customize the direct URL.
- When the domain was removed, these URLs were reset to the default Kartra domain.
- If desired, update the link to use the reconnected domain.
Update shared links
The default URL for any pages or assets hosted in your Kartra account includes your username (e.g., https://username.kartra.com/page/). After changing your username, any links with the old username will stop working following a two-week grace period.
To avoid broken links, review and update all locations where links containing your old username may have been shared.
Common places where links may need updating:
- Social media, blog articles, or external websites
- Emails (both within and outside Kartra)
- Documents or spreadsheets
These links might include:
- Direct links to pages, memberships, calendars, webinars, or other assets
- Direct links to media hosted in Kartra (files, images, video, audio)
- Tracking links
- Affiliate promotion links
Update embedded assets (if applicable)
If you’ve embedded any Kartra assets on external sites (e.g., surveys, videos, etc.), some embed codes may include your username. After the username change, you may need to update these codes.
Review each external page where Kartra assets are embedded and check for errors (example shown below). If an error appears, recopy and update the embed code in the external source.
Types of assets that may need updating:
- Product checkout embeds
- Forms
- Videos or video playlists
- Surveys
- Helpdesks
Keep in mind
- Update time: It will take around 5 to 10 minutes for your username change to apply throughout your account. Larger accounts may experience a slightly longer delay.
- Links and redirects:
- For two weeks, links and embed codes containing your old username will automatically redirect to your new username, giving you time to review and update everything.
- After this period, old links will stop working, so be sure to manually update any affected links.
- Old usernames: Two weeks after your username change, the old username becomes available for other users. You will no longer retain any claim to it.
Summary checklist
After updating your username, check:
- All shared links: Review and update any shared URLs (on social media, websites, emails, or documents) that contain your old username.
- Embedded assets: Check all external sites with Kartra embeds (e.g., forms, videos, checkouts) to see if the embed codes need updating. Look for red error messages and replace outdated embed codes as needed.
- Domains: Update the CNAME records for each custom domain in your domain host account and reconnect them in Kartra.
- Assets linked to custom domains: Ensure any pages or assets (e.g., memberships, calendars) that were linked to your custom domains are updated.
- Functionality: Verify that all assets—such as emails, forms, tracking links, and helpdesks—are functioning properly with the new username.
